Process AP Transactions from My Pajamas!
No, we are not suggesting a new dress code for your office! As a result of having to work from home, GP account payable users may not be aware of a number of features that can expedite this process, some already included in your GP versions without any add-on licensing. Scanning of vendor invoices in GP – could I get a copy of a vendor’s invoice in my GP system? There are many options to do so. The simplest is called GP attachments. One can use the GP attachment feature to scan in one or many docs and attach it to a payable voucher. This routine will date and time stamp when it was scanned. This feature is also useful to scan vendor contracts, which can be viewed either from a vendor record or while processing a payable voucher. For more sophisticated scanning options, see the AP automate article below. Digital signatures – many of our clients already use a check printing enhancement from a vendor named Mekorma, which prints check stock onto blank paper. They recently added functionality to also print signatures on checks, which eliminates having to bring the paper checks to a supervisor. Supervisors can log onto GP and provide their “electronic signature”. This feature also includes thresholds, which can be based on the dollar amount of the check to direct it to the correct person or persons. Electronic Payments to Vendors – named EFT in Great Plains. Eliminate checks altogether. Pay your vendors electronically. Incorporate workflow to add controls, as needed.

AP Automation for Great Plains
The following are features that can be added to your Great Plains system to automate the entire AP process.
Permit employees to create requisitions, that require electronic approval against budgets, before creation of a GP purchase order.
Instead of manually scanning invoices, you can have your vendor’s email you their invoices.
PDF attachments be automatically read by software to automatically create AP vouchers in Great Plains. This is accomplished using technology called OCR. A user just reviews the vouchers that were created in GP and posts them, either individually or in a batch.
This OCR functionality is available for transactions that originate as a Great Plains purchase order.
